Oral presentation guidelines

It is our pleasure to welcome you as a speaker at the 25th Cochrane Colloquium. We kindly ask you to follow the instructions below to ensure your presentation goes smoothly.

Requirements and information for oral sessions

Registration

  • Please note that your abstract's inclusion in the final programme is dependent on you completing your registration by Sunday 1 July 2018.
  • To register for the Colloquium, click here. 
  • Early bird registration ends on 15 June 2018.
  • A reminder that a visa is required for some visitors to the UK. You can find information about visa requirements, here.

Changes to abstracts

  • Please note that changes to abstracts are no longer possible.
  • You can change the presenting author of your abstract by e-mailing abstracts@cochrane.org with the name of the original presenter, the session, the abstract, and the name of the new presenter. Please note that no changes are possible after Friday 17 August 2018.

Oral sessions

  • In the programme, time slots of 90 minutes each are reserved for parallel oral sessions.
  • Each parallel session will include both short- and long-oral sessions.

Instructions for long oral sessions

  • Each session will include 4 presentations.
  • Presenters will have 15 minutes to do their presentation and 5 minutes for discussion.
  • The length of your presentation may not exceed 15 minutes. Chairs of the session will advise you when you have 3 minutes and 1 minute remaining.
  • The PowerPoint slides for your oral presentation should be in 16:9 aspect ratio. This setting is found on the “Design” tab and then slide size “Widescreen (16:9)”.
  • For 15 minutes of presentation, you can prepare around 15 (maximum 20) slides including the introduction, conflict of interest and end slide.
  • Please disclose all funding sources or potential conflict(s) of interest to the audience before your presentation. Your disclosure(s) should be stated on the second slide of your presentation. We recommend you use either of the following statements:
  1. “I have no actual or potential conflict of interest in relation to this presentation.”
  2. “I have a [financial interest, arrangement or affiliation] with the following organisation(s) that could be perceived as a direct or indirect conflict of interest in the context or content of this presentation.”
  • You can prepare your presentation in PowerPoint or Keynote (for Mac-users).
  • Please don’t forget to bring an extra copy of your presentation to the event (on a USB stick or by sending it to your email).

Instructions for short oral sessions

  • Each parallel session will include up to 9 presentations.
  • Presenters will have 10 minutes for their presentation (8 minutes for presentation, 2 minutes discussion).
  • The PowerPoint slides for your oral presentation should be in 16:9 aspect ratio. This setting is found on the “Design” tab and then slide size “Widescreen (16:9)”.
  • Each short oral presentation may use a maximum of 6 slides including the introduction, conflict of interest and end slide.
  • Please disclose all funding sources or conflict(s) of interest to the audience before your presentation. Your disclosure(s) should be stated on the second slide of your presentation. We recommend you use either of the following statements:
  1. “I have no actual or potential conflict of interest in relation to this presentation.”
  2. “I have a [financial interest, arrangement or affiliation] with the following organisation(s) that could be perceived as a direct or indirect conflict of interest in the context or content of this presentation.”

On the day of your presentation

  • Check in at the speaker preview room (located on the ground floor close to the registration desks) at least three hours before your session starts and provide a copy of your presentation to the technical staff. Even if you have sent your presentation in advance please still visit the speaker preview room to check that it has been received and the formatting is ok.
  • All presentations must be uploaded one hour before the first speaker begins at the latest.
  • If you are speaking in more than one session, please ensure that the presentations are labelled clearly and in separate folders.
  • If you wish to incorporate videos in your presentation, make sure you check that it works at the computers at the venue well beforehand (it is best to do this the day before your presentation).
  • Please note, you will not be able to play your presentation directly from your laptop and you must visit the speaker preview room to provide us with your presentation.
  • Please come to your assigned session room 10 minutes in advance to fine-tune the session with the session chairs and other presenters.
  • Every room is equipped with a laptop, projector and screen. A microphone for the speaker and a second microphone are available in each room.
  • Technical assistance will be available in each room.
  • Session chairs will introduce each presenter.
  • Session chairs will advise you, when you have 3 and 1 minute remaining.
  • Please be respectful of your fellow presenters and their allotted time by staying within the time allowed and complying with the session chairs if they ask you to wrap up.

FAQs:

Do I need to register if I am a presenter?
Yes, all presenters need to register by Sunday 1 July 2018 and pay the registration fee.

Can I make changes to my abstract?
No. Changes to abstracts are no longer possible.

When do I need to be in my session room?
Please come to your assigned session room 10 minutes in advance to fine-tune the session with the session chairs and other presenters.

When and where can I upload my presentation?
